Bank reconciliation software for distributors with more receipts than hours
Reconciliation is not difficult. It is just long, and it gets longer every month you skip it. The Banking module imports the statement and puts it beside what you have already posted, so the job becomes checking rather than hunting.
Businesses collecting from a lot of parties
A distributor selling on credit to two hundred parties takes payment in dribs and drabs: part payments, cheques that clear late, transfers with no reference. The ledger knows what was expected. The statement knows what arrived. Someone has to make those two lists agree, and how long that takes is a software question.
- Wholesalers and distributors collecting against many open invoices
- Businesses using more than one bank account, or one per branch
- Companies where collections and accounting are done by different people
- Owners who want the cash position to be current rather than month-old
Statement in, ledger beside it
Statement import
Bring the bank statement in rather than keying it, so the comparison starts from the bank's own record.
Reconcile against receipts
Match incoming credits against the receipts already posted to party ledgers.
Reconcile against payments
Match debits against payments made to suppliers and others.
Reconcile against journals
Journal vouchers are part of the same reconciliation rather than a separate manual pass.
Branch-aware
Accounts belong to branches, so a group with an account per branch reconciles each one in its own books.
Audited like everything else
Reconciliation actions are covered by the same role-based permissions and audit log as the rest of the ledger.
The monthly pass
Post as you go
Receipts, payments and journal vouchers are posted through the normal ledger during the period.
Import the statement
The bank's statement is brought into the Banking module for the period you are closing.
Match
Statement lines are reconciled against what is already in the ledger — receipts, payments and journals.
Deal with what is left
What does not match is what actually needed your attention: the unrecorded charge, the payment that never arrived, the duplicate.
The cash position is the one number owners check daily
The Voucher Info module shows today's collections and payments in real time, but that view is only as honest as the reconciliation behind it. An unreconciled account drifts: cheques that bounced still count as collected, bank charges never appear, and the receivable ageing slowly stops meaning anything.
Reconciling monthly rather than annually is mostly a question of how much friction the task carries. Importing the statement instead of keying it removes most of that friction.
Where a group has an account per location
Distribution groups often end up with an account per branch, opened for good local reasons and then inherited by whoever does the books. Reconciling those centrally is the kind of task that gets postponed until the year end, by which point nobody remembers what a transfer in March was for.
Because accounts belong to branches, each one reconciles inside the branch's own books while still rolling into the consolidated view. A branch manager can be given the rights to reconcile their own account and nothing else, which spreads the work to the people who know what the entries were.
Transfers between the group's own accounts are the case worth being careful about: they are movements, not income, and recording them as ordinary receipts is one of the more common ways a set of books ends up overstating a month.
Questions we get asked
What does the module reconcile against?
Statement lines are reconciled against the receipts, payments and journal vouchers already posted in your ledger.
Do we have to type the statement in?
No. The statement is imported rather than keyed.
Can we run more than one bank account?
Yes, and accounts belong to branches, so a group with an account per branch reconciles each in its own books.
Does reconciliation change the ledger?
It matches what is already posted. Anything genuinely missing — a bank charge, for instance — is posted as an ordinary entry and is subject to the same permissions and audit log.
Which plan includes Banking?
Banking is included from the Platinum plan and available as an add-on on other plans.
