If every unit of an item is interchangeable and nothing ever expires, a simple quantity is enough. That is not most distribution. The moment the same item arrives in several batches, at several MRPs, with different expiry dates, the quantity on its own stops answering the questions people actually ask.

Warehouses

Stock is held per warehouse rather than as one company-wide number, so what a branch can sell reflects what that branch actually holds.

Batch and serial tracking

Items can be tracked by batch or by serial number, and the batch travels with the stock through purchase, transfer and sale.

Expiry and MRP

Batches carry expiry dates and MRP. A batch-wise picker on sales shows available quantity, expiry and MRP together, and expired batches are flagged.

Manual batch entry at sale

When goods go out before the purchase bill has been entered, batch and expiry can be entered manually at the time of sale rather than blocking the dispatch.

Stock transfer

Move stock between warehouses or branches as a recorded movement rather than an adjustment nobody can explain later.

Reorder alerts

Reorder levels on items surface what is running down before someone notices an empty rack.

Negative stock control

Set per branch to Allow, Ask and Continue, or Block — so a busy counter and a controlled warehouse can follow different rules in the same company.

Last five transactions

On purchase and sales entry, the last five transactions for the same party and item are shown with their MRP and rate, so the person entering can see what is normal.

How it works

Stock through a working week

Goods arrive

A purchase or GRN brings stock in against a warehouse, with its batch, expiry and MRP recorded at that point.

Stock moves

Transfers between warehouses and branches are posted as movements, so each location's position stays honest.

Goods go out

On a sale the batch-wise picker shows what is available, what expires when, and at what MRP; expired batches are flagged.

The gaps get caught

Negative stock rules and reorder alerts catch the two failures that cost the most: selling what you do not have, and running out of what sells.

Working with the rest of the ledger

Inventory is not a separate island

Inventory Control provisions into the same company database as the ledger. A purchase that brings stock in is the same document that creates the supplier's liability, and a sale that takes stock out is the same document that creates the receivable. There is no nightly sync between a stock system and an accounting system, because there is one system.

That matters most at the year end, when the stock valuation and the books have to agree without anyone reconciling two sets of numbers by hand.

Can we track expiry dates by batch?

Yes. Batches carry expiry dates, and the batch-wise picker on sales shows available quantity, expiry and MRP together. Expired batches are flagged.

What if we sell goods before entering the purchase bill?

Batch and expiry can be entered manually at the time of sale, so a dispatch is not held up waiting for the supplier's bill to be keyed in.

Can we stop staff selling stock we do not have?

Negative stock control is set per branch, with three settings: Allow, Ask and Continue, or Block.

Does it handle more than one warehouse?

Yes. Stock is held per warehouse, and transfers between warehouses or branches are posted as recorded movements.

Do we see the last price a party paid?

On purchase and sales entry the last five transactions for the same party and item are shown, including MRP and rate.
